When comparing office rentals you can easily fall into a trap set for the unwary. Some rental companies will offer what looks like a great deal, but then tack on so many fees that the final bill is hundreds of dollars off from the number that drew you in.

Avoid getting surprised by unexpected fees by asking the right questions up front. Questions like:

Does my rent include all utilities especially internet?

Running a business in the modern world requires internet. If your lease adds a surcharge for high-speed internet, that should be a dealbreaker. No other questions needed.

Can I bring in my own furniture?

Some companies refuse to allow outside furniture (including small items like whiteboards or lamps) to be brought into their offices. That means you use what’s supplied or you pay monthly fees to rent their items.

Ask about printers and copiers too. Some companies won’t let you bring in your own but will force you to pay up to $.40 a sheet to use theirs.

Do I have to pay extra for parking? Do my clients and guests?

Parking can be expensive, especially if you have to pay daily or purchase a monthly parking pass. Costs add up quickly when you have multiple people working out of your office rental. Make sure parking is included in your rental agreement.

Is coffee, tea or water extra?

You probably don’t expect donuts everyday (though they seem to appear occasionally in the College Park Executive Suites kitchenette) but regular infusions of caffeine are the right of every office worker. Ask whether you’ll be expected to spend money every time you need a pick-me-up.  

What admin services do you charge for?

Every rental company has their own rules about which admin services are included. At CPES, Jackie will greet your guests and let you know they’ve arrived, take phone messages on your behalf, and help with many other small tasks that make your day easier.

If you do need full administrative services, you can negotiate them up front. The price you agree to is the price you pay, always.

 

What services am I agreeing to exactly?

One large company that will remain nameless, has gotten into trouble for adding virtual office fees to every contract, even when renters explicitly state that those services are not necessary for their business.

Virtual office services, like mail forwarding and telephone message taking should be available, but not required. If you don’t need or want this service, make sure you can opt out. The same can be said of meeting space rental. If you don’t need it, you shouldn’t have to pay for it.

Do your research

Protect yourself by reading reviews from other renters so you can see what your rental company isn’t telling you. If they’re playing tricks with the bottom line, what else are they not being honest about?
